Committee Servicing

This guidance is intended for all University staff involved in servicing University committees. It provides an overview of our current understanding of how freedom of information and data protection legislation may impact upon committee-related tasks such as agenda and papers preparation, minute taking and the identification of individuals in minutes and papers.

Some examples of good practice:

Central Management Group
- Whenever possible open minutes are written, even when the paper is closed. When an open minute is not possible an indication of when the minute will be open is given (example 20 December 2005)
Estates Advisory Group
- Agenda provide a clear indication of closed papers, and agenda items are titled so that the whole agenda is open (example 5 July 2006)
