Transfer of Responsibility Outside Policy and Planning

Purpose

1. This is guidance for Policy and Planning staff on what to do when one of your responsibilities transfers to someone outwith Policy and Planning to make sure your successor has all the information they need.

Ownership of folders

2. The person responsible for the activities that create a folder is also responsible for that folder. e.g. they take decisions on destruction and access.  If the responsibility passes outwith Policy and Planning responsibility for the folder also passes. This includes historic folders as the person needs the folders to carry out the job.

Transferring Folders

3. CRR will send the paper folder and contents of electronic folder to the new owner.  If one of your responsibilities passes outside Policy and Planning,  email recordsmanagement@ed.ac.uk and provide:    

  • Reference of affected folder
  • Recipient's name and department

4. CRR will send the paper folders and contents of electronic folders to the new owner.
