A Records Lifecycle For Planning And Strategy Functions

Funded by the JISC (Joint Information Systems Committee)

In March 2003 the JISC announced that the University's two project bids in response to the circular "Supporting Institutional Records Management" had been successful.  The two projects, 'A records lifecycle for planning and strategy functions' and Managing employee records in the higher education institutions/further educations institutions sector ran from May until October 2003.

'A records lifecycle for planning and strategy functions'  tested the practical application of the planning and strategy-related themes from the Study of the Records Lifecycle (on JISC's web site - follow below link) by developing and commencing the implementation of a retention schedule for planning and strategy records created throughout the University of Edinburgh.

Project objectives

• To analyse the activities and transactions carried out under strategic and planning function throughout the university
• To map the type, format and location of the records produced by these activities
• To produce a detailed generic retention schedule for these records, irrespective of their media
• To pilot the implementation of the retention schedule
• To identify the issues associated with the implementation of the schedule, under the headings of organisational, cultural, training, technological and resource issues.  We anticipate that the project will identify further requirements, such as the need to modify or acquire IT systems, which mean that the draft retention will not be fully implemented within the University during the timescale of this project.
